Ever wonder what those emails are that arrive each day called “quarantine reports”? Tired of having to submit Tech Requests to get email back that was blocked? Want to tell the email system that the email from Tomah, is email you really want and not SPAM? Well here are the answers to all those questions and more.

 

At the beginning of the 05-06 school year the Sparta Area School District established the use of the GW Guardian email scanning system. This system scans all incoming email for illegal attachments, spam, viruses and blacklist senders. This system scans up to 80,000 email every two weeks, 65,000 of which is marked and put into quarantine.

 

As the recipient there is nothing to be done about email that is quarantined for virus, blacklist or suspicious attachments. However, 99% of the time email that you would like to receive and gets blocked is blocked due to a false-positive marking for SPAM.

 

 

Here is how to address seeing what has been blocked and how to manage getting it back.

 

Open your Groupwise email. Here is what you will see in Groupwise to let you know you have SPAM. An email comes from the Postmaster.

Select VIEW from the top menu bar, choose HTML and you will see the same email message as an HTML (or webpage).

 

 

The window is rather self explanatory. It lets you know who the quarantined email was from, the subject, etc. Looking through the email will let you know if you have email quarantined from a sender you wish to get email from.

 

 

To either get the email back (release) or, better yet set this user as TRUSTED SENDER follow the steps described next.

 

Start by typing this address in Internet Explorer: http://guardian.spartan.org/quarantine you will see this screen.

 

Fill in YOUR EMAIL ADDRESS: (example: mtoetz@spartan.org)

Put your EMAIL password in and click Login.

 

 

 

 

You will then see this screen: This is your current quarantine. IT ONLY STAYS IN QUARANTINE FOR 2 WEEKS.

 

                    

Here is where you may select any one particular email and release it to your Groupwise email box. Simply check the box, select action and select release.

 


               

 

 

To add this sender as a permanent TRUSTED SENDER First, select the SETTINGS menu item at the top of the quarantine page.  Then click the TRUSTED SENDER text in bold type near the middle of the page.

              

 

 

Add a sender to your own personal TRUSTED SENDER LIST. Server trusted senders are added by Mr. Toetz at the Server level. You may add individuals as you see fit for your own email needs.

Click the ADD button in the upper right corner once you have added the email address (not pictured).

 

You may add senders by domain if you wish. For example, if I want to get email from everyone in a particular system I would simple add everything after the @ symbol. (i.e Spartan.org, centurytel.net, etc.)

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

You can also add senders to your BLOCKED SENDERS list. This is intended for blocking those senders who get past the SPAM filter but you still wish to not get email form. Navigate to the same SETTING page and click the BLOCKED SENDERS bold text. You may add up to 200 blocked senders.

To change how frequently you receive the quarantine report email. Select SETTINGS from the top menu. Select the Quarantine Report bold text.  Click the override checkbox and set the days setting.
